Step-by-step guide for researchers to recruit to studies
Contents:If you’d like to use Be Part of Research to recruit to your study, you’ll need to complete a few steps.
Once you’ve checked step one, you can submit an application by clicking the button on step two. We will let you know if your application has been successful. We will also guide you through each step after that.

Step 1: Check if your study is listed
Your study must be listed and searchable on the Be Part of Research website.
For your study to appear on the Be Part of Research main website, you need to have an existing study listing on any one of the following sites:
You can start an application without meeting this requirement. However, this has to be met before we contact volunteers to recruit to your study.

Step 2: Apply to include your study in the Be Part of Research registry
You may be eligible to use the Be Part of Research registry if your study is on the Research Delivery Network (RDN) portfolio or if it is funded by the NIHR.
The registry contains our volunteer database. You must submit an application for your study to be listed in it. This will help recruit to your study by matching volunteers based on the inclusion criteria you provide.
Once you submit an application, we will review it. We will be in touch with you to let you know if your application has been successful or if we more information about your study.

Step 3: Provide study information
At this stage, we will send you a document which asks for essential information about your study.
We will work with you to ensure that this information is written in plain English for members of the public.
Once the information is finalised, it will be used to generate a study information page.
Volunteers are sent a study invitation by email. This page will be linked in the email for volunteers to read about the study.

Step 4: Create a pre-screener
Your study is eligible to create a pre-screener if it is conducted:
- at one research location and data is not shared
- at multiple research locations but is managed by one researcher
If your study is eligible, we will get in touch with you to discuss creating a pre-screener on the Recruit Registry Volunteers platform.

Step 5: Confirm that you have ethics approval for your study
You need to let us know when you have received the ethics approval for your study.
Be Part of Research has research database approval and can be added by a non-substantial modification in your study documents, as long as there are no other associated changes to the study.

Step 6: Recruit to your study
Once your application to the RMS is approved, your study will automatically be listed in the registry. This enables our admins to start recruiting for your study.
Volunteers will be matched based on the inclusion criteria that you provide.
Volunteers will be emailed a link. It will take them to a page containing all information about the study, including how to take part.

Step 7: Report the number of volunteers recruited
You can skip this step only if your study involves creating a pre-screener on the Recruit Registry Volunteers platform.
You will need to tell us how you will report the total number of participants that you have recruited using the Be Part of Research registry.
You can do this by:
- telling us the total number of volunteers recruited using our service
- providing the unique volunteer IDs for the participants recruited through our service
